Greetings to all!
These past couple of months have been filled with WCR events from Sacramento, San Francisco, and down to San Diego. Wow! We’ve managed to cover some great areas and had a great time meeting with all of you and enjoyed our immensely talented Guest Speakers. At our Sacramento Mid-Year State Meeting the Nominating Committee went to work on our panel for 2003 and they had their work cut out for them. I am very honored to have been nominated on the ballot for the election of 2003 President-Elect for our Chapter, and I appreciate your continued support.
One of the positions that will be open for election will be the State Chapter Secretary. The Secretary is to take minutes of each Chapter meeting and at each Governing Board meeting. The Secretary is to keep an accurate record of all motions made at these meetings. I have found that it is much easier to have a laptop at the meetings while taking minutes; it saves time in retyping from note pads, and editing is a breeze. Motion slips are provided to each member at registration for both meeting days, so that they are able to write down the exact wording of their motions and provide those to the Secretary at the end of the meetings. Suggested format for minutes of meetings is included in the Leadership Policy & Procedure Manual in the section for Local Chapter Secretary.
All original copies of minutes should be kept in a PERMANENT CHAPTER MINUTES BOOK and one copy should be mailed to the Chapter President, and the Regional Vice President of our Chapter. It’s a good thing we have the Internet and email. Since the majority of our Chapter members are online, it’s much easier to email files of our minutes for publication and keep a hard copy for the Chapter Book.
One of the major responsibilities of the State Chapter Secretary is to send the names and the addresses of the newly elected officers to the national WCR office immediately upon election. If there are any name and/or address changes of Chapter members during the year then the changes should be sent in to the national WCR office as soon as possible. With over 1500 members for the State Chapter, it means staying on top of details and sending the information quickly. Our Chapter functions so well because all involved are professional, detail oriented, and team players.
